CRM Hygiene: A Weekly Routine That Actually Sticks
Your CRM doesn't need more features. It needs 30 minutes of attention a week.
Most agents we talk to have a CRM full of dead data. Phone numbers that haven't worked in two years, tags nobody remembers creating, sequences set up in 2022 and never reviewed since.
The problem isn't the software. It's that nobody is responsible for keeping it clean.
The 30-minute Friday review
Block 30 minutes every Friday afternoon for one job: make the CRM match reality. Here's the order we use.
1. Clear stale stages (10 minutes)
Filter contacts that have been in the same pipeline stage for more than 30 days. For each one, either move them forward, move them back, or move them out. No contact should be stuck.
2. Reconcile last contact (10 minutes)
Pull the list of contacts whose "last contact" date is older than your target cadence. Either schedule a touch this week or downgrade them to a longer cadence. Don't leave the dates lying.
3. Audit one tag (10 minutes)
Pick a single tag, look at every contact that has it, and ask: does this still mean what I thought it meant? Tags that drift become noise. Tags that stay sharp become triggers.
What to delegate
A VA can run the first two steps every week and prepare a clean review list for you. Step 3 stays with you, because it's a judgment call about your business.
Quarterly bigger clean
Once a quarter, do a longer pass:
- Merge duplicates
- Archive contacts with no activity in 18+ months
- Review automations end to end and turn off anything you wouldn't build today
The compounding effect
A CRM that's clean enough to trust is the single highest-leverage tool in your business. Every campaign, every report, every "who should I call this week" decision gets easier. Spend the 30 minutes. It always pays for itself.
