Closing Week Checklist: What to Hand Off to Your VA

Closing week is where great deals quietly fall apart. Not because of the deal itself, but because of the 40 small coordination tasks nobody owns.

Here's the checklist we run with the agents we work with, broken into "VA handles" and "agent handles" so nothing falls through the cracks.

Monday: confirm the runway

• VA: confirm clear-to-close status with the lender, get it in writing
• VA: confirm wire instructions are loaded with the title company
• VA: send the buyer the wire fraud warning email, again
• Agent: call the client to set expectations for the week

Tuesday: utilities and walkthrough prep

• VA: book the final walkthrough time and confirm with all parties
• VA: send the buyer the utility transfer reminder with a one-pager
• VA: confirm HOA estoppel is on file if applicable

Wednesday: numbers

• VA: request and circulate the preliminary settlement statement
• Agent: review for errors, flag anything off
• VA: confirm cashier's check or wire amount with the buyer in writing

Thursday: walkthrough

• Agent: attend the walkthrough
• VA: prepare a punch list template the agent can fill in on their phone
• VA: if issues are found, open a documented thread with the listing agent before end of day

Friday or closing day: handoff

• VA: confirm signing time, location, and what to bring with the client by 8am
• Agent: attend signing or be reachable
• VA: confirm funds disbursed, record the closing in the CRM, schedule the 7-day, 30-day, and 90-day follow ups
• VA: send the thank-you and review request from the agent's account

Why a checklist beats memory

Closing week is the highest-stakes, lowest-margin-for-error week in any deal. A written checklist with named owners is the difference between a Friday afternoon high-five and a Monday morning fire.
