The Client Communication Cadence Top Agents Use

A repeatable schedule that keeps clients informed, calms anxiety, and protects your evenings.

Most communication problems in real estate aren't about what you said. They're about how long it's been since you said anything at all.

Clients fill silence with worry. The fix isn't saying more. It's saying something predictable.

The 3-touch weekly rhythm

For every active client (buyer or seller), commit to three planned touches per week:

  • Monday morning: what's happening this week, what we're waiting on, what we need from them.
  • Wednesday afternoon: a short progress update, even if nothing has materially changed.
  • Friday end of day: the wrap, what's carrying over, and the weekend plan.

That's it. Three messages, on the same days, in the same format, every week.

Why predictability beats volume

When a client knows a Wednesday update is coming, they stop checking their phone on Tuesday. Their anxiety drops because the next data point has a known arrival time. Yours drops too, because you're no longer fielding "any news?" texts at 9pm.

Use a template, not freestyle

Every touch follows the same skeleton:

  • Where we are
  • What's next
  • What I need from you

Three lines, three sections, always in that order. Your VA can draft these from your case notes, and you can approve them in 90 seconds before they go out.

The exception rule

Urgent updates break the cadence and go out immediately. Everything else waits for the next scheduled touch. This protects you from becoming the agent who messages constantly and trains nothing.

What happens after closing

The cadence doesn't stop. Move clients to a quarterly check-in for the first two years post-closing. The agents we work with who do this consistently report referral rates roughly double the agents who don't.
